Excel test for admin jobs: what's tested

Admin, receptionist, office manager and data entry roles often include a short Excel test. The good news: it focuses on everyday tasks, and a few skills cover almost all of it.

What admin Excel tests cover

You're less likely to see nested formulas, SUMIFS with dates or pivot tables. Those belong to analyst-level tests.

Sample tasks with answers

All the tasks use this stock list:

ABCD
1ItemIn StockReorder LevelUnit Cost
2A4 Paper1210$24.50
3Printer Toner35$68.00
4Pens (box)2510$9.75
5Sticky Notes4015$4.20
6Stapler64$12.90

1. Stock value per item

In E2, =B2*D2, copied down to E6. A4 Paper is worth $294.00.

2. Total stock value

=SUM(E2:E6) gives $987.15. Format it as currency if the task asks.

3. Flag items to reorder

In F2, =IF(B2<C2,"Reorder","OK"), copied down. Only Printer Toner shows "Reorder" (3 is below 5).

4. Count the items to reorder

=COUNTIF(F2:F6,"Reorder") gives 1.

5. Sort by stock level

Click a cell in the In Stock column and sort smallest to largest. Make sure the whole table sorts together, not just one column, or each item ends up with the wrong numbers.

How to prepare

  1. Take a timed practice test to see which of these skills slow you down.
  2. Practise typing formulas rather than using a calculator. Tests usually check for formulas.
  3. Get used to copying formulas down a column, and using $ when a reference shouldn't move.
  4. Do a couple of full timed tests in the days before the real one.

Our Admin & Office tests are three timed tests built around exactly these tasks: an inventory list, a staff timesheet and customer orders.

Frequently asked questions

How hard is the Excel test for an admin job?

Usually basic to intermediate. If you can write simple formulas, use IF and COUNTIF/SUMIF, format numbers and sort a table, you're well prepared for most admin tests.

How long is an admin Excel test?

Often 15 to 30 minutes, sometimes with a typing or Word test alongside it.

What score do I need?

It varies by employer, but many look for 70–80% or more. Getting the basic tasks right quickly matters more than knowing advanced functions.
